The "Fine Print"

Reservation Requests - Selecting and reserving facilities at the Village for your special event can be accomplished by telephone or in person.  (Please call for an appointment.)  However, reservation dates are not "confirmed" until payment of the required deposit (minimum $250.00) has been received by the Village and a written agreement has been approved.  (This deposit is not refundable and is not transferable to any other date or venue.)

Reservations may include tables, chairs, white table linens, display easel, cake table, guest registry table, speaker's podium, and all setup and takedown.  The following are available for an additional charge: TV, VCR, projection screen, event tent, dance floor, bridal suite, guest accommodations, valet parking, etc.

 

Event Coordination - When you schedule your event, the Village will identify an event coordinator from our staff who will be your single point of contact for all planning and coordination.  You will be asked to identify your single point of contact as well.  Your contact must be fully-authorized to make changes and incur expenses for your event.  If your event is a wedding or wedding reception and the single point of contact is the bride and/or groom, an alternate single point of contact must also be identified and authorized by you for the day of the event.  Please note that the Village point of contact is not a "Wedding Planner".  If you ask us to function in this capacity, the additional minimum fee will be $1,000.

 

Catering - The Village is able to provide all of your food and beverage needs.  We do not serve alcoholic beverages.  (Please discuss the use of an outside bartender with your Event Coordinator.)  As an alternative, you may also select from a list of Village approved caterers and chefs.  (Sample menus.)

 

Inn Policies -

Payment - Full payment for all events must be received at least seven (7) days prior to the date of the scheduled event.  If payment has not been received by that date the Village will cancel the event and you will be billed for all expenses incurred. As stated above, reservation deposits are not refundable and may not be applied to cover expenses incurred for cancelled events.

Decorating -

Because of the historic, irreplaceable nature of this property, nothing shall be hung from the walls, ceilings, windows, doors, rafters, etc. of any building.

Candles may be permitted (subject to prior inspection and approval by the Village of the proposed candle stick holder chimneys and/or hurricane lamps).

Fresh flowers or other items containing water or other liquids must be transported and displayed in leak-proof containers only.

Evening Curfew - Because the Village is also a hotel, consideration for our other guests requires that all special events conclude no later than 9:00pm.  Without exception, all breakdown activities must be completed by, and all attendees, guests and vendors must depart the premises  no later than, 10:00pm.

Printed Invitations - Printed invitations for your event must state an "end time" no later than 9:00pm.

Children - Even well-behaved children like to explore.  Unfortunately they are usually unaware of the need for the privacy and quite enjoyment of our hotel guests, nor do they appreciate the value and fragile nature of our extensive collection of antiques.  Therefore, if your event will include children, we will add an appropriate charge to cover the additional personnel necessary to secure this privacy and security.

Other - All participants and attendees must observe the Village policy of no smoking and no pets.
